MINUTES OF THE WIMB MEETING

OCTOBER 2009 

Eva Nascimento called meeting to order on October 8th at 7:10pm. She began by reviewing the great first two weeks of marching band competitions despite the rainy weather.   She also thanked Ron Debarge for the wonderful pasta dinner he put on for the marching band pre-Rocky Hill competition.  For the upcoming weekend, grinders will be provided pre-competition.  

September Minutes

Nancy Andrews motioned to accept the September minutes . Sue Kemp seconded. September minutes were accepted. 

Treasurer’s Report

Mario Ciampi gave the treasurer’s report for the month of September.  

Publicity

Yolanda Preysner  stated that the Fruit Sale and Bottle Drive were being publicized in the Hartford Courant.  She has submitted an article to “I Towns”  regarding the Marching Bands first two successful competitions.  She reported that the Wethersfield Post publicized band camp and the Rocky Hill competition with article and pictures.  Ed Zambrello asked Yolanda to provide publicity information directly to him for inclusion on Wethersfield Community Channel.   Yolanda will also be calling into Rick Garrey’s show on WCC re: WHS Band publicity. 

Marching Updates

Chaperones/Volunteers - Nancy Andrews said that we have enough chaperones for each of upcoming competitions.  Eva suggested that it would be helpful to have some parents come in earlier on Saturday (4:15 pm) to help out with dinner.   Nancy Andrews will send an e-mail requesting an additional two parent volunteers.

Football Games – Eva reminded everyone that an additional Football game was added to the roster on November 14th against EO Smith.  Marie Massaro asked for additional volunteers to help out with snacks and water at halftime.  Nancy Andrews indicated she would recruit additional volunteers. 

Fundraising

Ø  Bottle Drive – John MacFarlane reminded everyone that the bottle drive has been rescheduled to October 31st and that since it is Halloween, student volunteers will be dressing in costumes.  John asked if any parent owned a truck that could be used for the day of the bottle drive.  Judy Niedzielski suggested giving out reminder flyers about the bottle drive with the tickets at the 10/24 football game.

Ø  Fruit Sale – Eva stated that she has received about $2000 in checks so far.  She needs the students to return forms and checks as they receive the orders.  Call nights have been scheduled at Coldwell Banker thanks to Stacy Hodges – dates are:  10/9, 10/16, 10/19 and 10/30.  Volunteers are still needed for distribution and making fruit baskets.

Ø  Grants and United Way Campaign – Eva sent a reminder e-mail re: United Way donations and the identification number for WHS Band donations.

Ø  Orchestra Bottle Drive @ Cove Carnival – Judy Niedzielski indicated volunteers are still needed for all 3 days (10/16 – 18).Ø  Christmas Tree pickup – Nancy Andrews will do up flyers for the XMAS tree pickup and get publicity information to Yolanda P.   Volunteers with trucks are needed.  Flyers will be handed out at the Winter Concerts.

Ø  There was a discussion re: adding a “Mums for Moms” fundraising event for the Thanksgiving Football Game.  Because the timing would fall the same weekend as the Fruit Sale distribution weekend, this item was tabled for further discussion possibly at a later date. 

Dave Dion’s Update

Ø  The Marching Band will be participating in the upcoming Columbus Day parade on Franklin Ave on October 11th.   Students need to be at the WHS parking lot on Sunday morning by 9 a.m.  Parent chaperones are needed.

Ø  Competitions – Dave indicated that the show  is going very well despite the challenging weather last Saturday.

Ø  Trip – The band trip to Washington DC and Williamsburg VA has been officially approved.  Permission slips have been distributed.  Approximate cost per student is $667.  We will be participating in the Dixie Classic competition which is a more competitive competition.  One chaperone will be needed per twelve students (minimum).  Security guards will be hired to monitor hotels overnight.

Ø  Oct. 24th Regional competition – We need to sell a minimum of 70 tickets pre-competition  in order to qualify for the discounted ticket price of $10 per person, instead of $12 at the door.  Marie Massaro volunteered to coordinate that effort.

Ø  Colin Mason will be providing instruction to the percussionists.  He previously taught at Cheshire.  Funding is needed for this position and for a Colorguard writer for next year (a possible candidate for that position previously wrote for Trumbull/Norwalk).  Dave estimates cost for Mr. Mason and the colorguard writer for instruction work to date is $400.   Next year we would need to fund $1200-$1500 to pay for the percussion instructor and the colorguard writer for the year.  Nancy Andrews motioned to use the $400 of the money previously allocated for purchase of a companion speaker (not needed) to pay for the work done to date by the percussion instructor and colorguard writer.  Motion seconded by Judy Niedzielski and passed.
